The Client

A global Big 4 consulting company’s Singapore office, that provides audit, tax and advisory services, working closely with clients in SE Asia, helping them to mitigate risks and grasp opportunities.

Challenge

Preparation and deployment of new assets was completely manual process, managed on excel and prone to error. Asset loan, lost and damaged asset recovery processes were also manual and dependent on email-based approvals and no visibility of due dates.

Solution

Using ServiceNow® IT Asset management capabilities, we implemented end to end asset lifecycle, from new asset allocation, to transfers, loans, re-assignments, maintenance and retirement. We designed the CMDB Class structure, mapping of CMDB to Assets and auto – update rules for synchronization between CMDB and Asset data.

Accomplishments

The CMDB Class Structure was designed and finalized, and the Product and Asset Models, along with model categories, were also finalized and uploaded. Import templates were created for various types of asset data, including computers, end-user devices, communication devices, peripherals, software packages, and consumables. A data upload utility was provided for ongoing data maintenance. Additionally, service catalog requests and workflows were delivered for asset management processes such as hardware/software asset purchases, asset repair, reporting damaged or lost assets, loaning hardware, clearance processes, assignment acknowledgments, creation of mailbox/distribution list type configuration items, and reminders and notifications. Asset management reports were generated, including those for asset aging, warranty due reminders, and depreciation calculations.
